A useful site visit ends with evidence about a specific unit and a short list of unresolved questions. Bring the operations lead, a simple flow layout and the people responsible for equipment or fit-out decisions. Ask permission before taking photographs and identify the unit in every record.
Before the visit
- Confirm the appointment, entrance pin, unit number and site contact.
- Share required area, vehicle types, intended use, move-in timing and any specialist handling needs.
- Request the current unit plan, offered specification and list of documents available for review.
- Write down the requirements that would rule out the property, so they are checked early.
Record observations and evidence separately
| Area | Observation to record | Evidence or follow-up |
|---|---|---|
| Approach and yard | Vehicle access, turning and waiting arrangements. | Transport-provider assessment for your vehicle; access conditions. |
| Building | Bay layout, visible obstructions and apparent condition. | Dated drawings, confirmed usable dimensions and technical review. |
| Loading | Door positions, staging space and dock allocation. | Offered loading arrangements and compatibility with equipment. |
| Utilities | Meter and service locations visible during the visit. | Written power and water provision; allocation and billing basis. |
| Drainage and weather | Visible drains, roof condition and reported water issues. | Maintenance records, relevant incident history and unresolved repairs. |
| Use and handover | Remaining work, shared areas and operating arrangements. | Applicable documents, responsibility schedule and acceptance record. |
A brochure example: Mansi M-101
The Mansi brochure specifies 12 m clear height and one dock per 10,000 sq ft. During a visit, record the usable clearances in the actual storage zones and confirm which docks serve the offered area. The brochure also states 10 ton EOT crane capacity and roof and wall insulation; ask what is installed, what is included and what evidence supports your proposed use.
A photograph can show layout and visible condition, but it cannot certify a floor load, crane rating or fire-safety provision. Ask qualified reviewers to evaluate the relevant records and the proposed operation. Do not infer hidden performance from a brochure image.
Finish with a five-column evidence log
| Requirement | Observed | Document received | Open question | Owner / due date |
|---|---|---|---|---|
| Example: usable rack clearance | Record zone and observation | Drawing reference or “pending” | Confirm obstruction and layout | Assign at the visit |
| Example: allocated docks | Record dock identifiers | Unit proposal or “pending” | Shared or exclusive use? | Assign at the visit |
Send the same factual follow-up to every shortlisted operator. Separate your observations, the operator’s statements and independently reviewed evidence. This makes later comparisons more useful than relying on memory or a collection of unlabelled photographs.
